ITRT MailTrack · setup guide
Get ready to send.
Set up your own account, connect Google, and link Chrome. Your administrator activates managed sending once all three are ready.
You need Chrome signed in to your work Gmail account, your own unlocked 1Password account and extension, a private setup invitation, and the approved MailTrack extension package from John. Allow 20–30 minutes plus a supervised check.
01 · Your invitation
Open your personal setup link
Check that the website is https://itrtmailtrack.com and the heading is “Set up your account.” The displayed email must be yours. Keep this page open while you set up 1Password.
Your invitation is private, single-use, and expires after 24 hours. Ask John to reissue an expired or revoked link. Do not forward it, use someone else’s account, or use the original bootstrap page.
02 · Your saved Login
Create your password in 1Password
Create a Login item named ITRT MailTrack in your own appropriate vault. Save your exact work email as the username and https://itrtmailtrack.com/login as the website. Generate and save a unique password of at least 14 characters, then fill “New password” and “Confirm password.” Keep the password and authenticator in the same Login.
03 · Your authenticator
Save the key, then verify the code
- Select “Copy setup key” beside “Authenticator setup key.”
- Open your MailTrack Login in the 1Password app, select Edit, then Add More → One-Time Password.
- Paste the setup key into that field and save. Save the key, not one six-digit code; do not replace the ordinary password.
- Enter the current changing six-digit code in “Verification code,” then select “Create account.”
- Wait for the next fresh code before selecting “Sign in.” The setup code has already been used.
If a code fails, check the correct Login and your device’s automatic date/time setting. Never send your password, setup key, verification code, or private invitation to support.
04 · Google
Connect your work account
After signing in, open Connections → Connect Google. Choose your exact work email and complete Google’s consent flow. If administrator approval is required, ask John to coordinate it; do not choose another account to bypass it. Confirm that your connection is healthy.
05 · Chrome
Install and link the approved extension
Use only the approved version and installation instructions supplied by John. For the supervised unpacked pilot:
- Extract the package to a permanent folder and keep it after installation.
- Open chrome://extensions, turn on Developer mode, and choose Load unpacked. Select the folder containing manifest.json.
- Check the version and avoid loading a second copy. Open the extension’s setup/options page and select “Link this browser.” Complete enrollment into your own signed-in MailTrack account.
- Disable other Gmail tracking or send-interceptor extensions in this profile, such as Mailsuite. Leave unrelated extensions, including 1Password, alone.
- Save unfinished drafts and reload Gmail.
An unpacked pilot is not an automatically updated, policy-managed Chrome deployment. Follow a future managed release’s installation instructions only when John explicitly identifies that release.
Managed sending stays inactive until John checks Team setup and enables it. After activation, reload Gmail and confirm “Tracking on.” Arrange a supervised acceptance check before sending a test.
06 · After setup
Read the Monitor and keep blocked drafts
One-off is normal work email, even with multiple recipients. Group is a campaign or mail-merge batch. Use Opened or Not opened and check the recipient, subject, and time. One recipient’s activity does not prove everyone opened the message. Not opened means no qualifying signal, not proof that the email was unread.
If sending is blocked, keep the draft and follow the explanation. For “Status unknown—do not resend,” ask John to reconcile the attempt before sending again. Do not disable MailTrack to bypass a block. Campaigns and automatic follow-ups need separate acceptance checks.
When asking for help, share your email, extension version, subject, timestamp with time zone, and exact non-secret error. Setup is complete after your own sign-in, Google connection, extension enrollment, activation, and supervised acceptance check pass.
